Nadia Geray — Personal Assistant
15+ years' experience

An executive assistant who takes charge, coordinates and follows through

As a freelance executive assistant, I take on work that involves coordinating several people and priorities, setting up or improving tools, and sometimes finding a solution when a process or organisation gets stuck. 15+ years' experience in the operational running of organisations has taught me that something isn't finished until it's actually resolved. I fit into your organisation, your tools and your methods, rather than asking you to adopt new ones. I work remotely, with occasional travel across the Lake Geneva region, for business leaders, self-employed professionals and private clients.

A background that shaped the way I work

My time in a medical practice put me at the heart of its day-to-day running, well beyond reception or booking appointments: overall organisation of the practice, coordination between doctors, patients, laboratories, organisations and suppliers, managing several files and priorities at once, admin follow-up, billing and basic bookkeeping — all while handling highly confidential medical and personal data. I was also responsible for the practice's tools: getting to grips with and administering industry-specific software, setting up new solutions, configuration, updates, and finding an alternative whenever a tool or process no longer did the job.

Something is rarely resolved on the first call or the first email. A document is missing, someone doesn't reply, a process stays unclear, a piece of software gets in the way. As long as the problem isn't genuinely solved, I consider it still open: I follow up, chase the missing information, try a different contact or approach, learn a new tool if needed — until it's actually sorted.

Running the day-to-day operations of a coaching studio then added another dimension: managing daily activity, coordinating a team, organising schedules, tracking memberships, the commercial side — and again, setting up and improving tools and ways of working. Today, as a freelancer, it's this combined experience — coordination, tools, follow-up, resolution — that I put to work for my clients, fitting into their organisation and finding solutions when they're not obvious.

I adapt to the way you work
— not the other way around.

I don't turn up with a ready-made method and ask you to adopt it. I start by understanding how you already work, and fit into your set-up — Notion, Google Workspace, Wix, your CRM, WhatsApp, industry-specific software, or simple shared folders. It's up to me to adapt to your tools, not up to you to change your habits for me.

And when a task involves a tool or process I don't yet know, I don't pass it back: I look into it, test it, learn it, and find the solution. You shouldn't have to spend time teaching me how to work with you — adapting is part of my role.

What that can look like

A few examples to show the range of what I can take on — a single assignment may involve several of these at once.

An administrative matter that's stalled

I take over the file, identify the right people to speak to, contact the organisations involved, follow up — and stay on it until it's genuinely resolved, not just passed along.

Several people to coordinate

I line up availability, coordinate the communication, and make sure everyone has the information they need, when they need it — without you having to chase it up.

A tool to set up or improve

A tracking sheet, a form, an automation, a website, a domain name — I learn what's needed and keep it running for you.

A deadline you can't afford to miss

I organise, track and follow up until it's genuinely closed — whether it's a formality, a payment, or an appointment you can't let slip.

Got something to hand over — even if you're not sure yet where to start?
